Team Management

Collaborate effectively by adding team members and assigning roles.

Overview

Team management allows you to:

Accessing Team Management

  1. Open your event dashboard
  2. Click "Team" or "Users" in the sidebar
  3. View all team members

Adding Team Members

Inviting New Users

  1. Click "+ Invite Member" or "+ Add User"
  2. Enter the person's email address
  3. Select a role:
    • Organizer - Full access
    • Evaluator - Review submissions only
  4. Click "Send Invitation"

The invited person will receive:

Adding Existing Users

If the person already has a Kite account:

  1. Click "+ Add User"
  2. Search by name or email
  3. Select the user
  4. Assign a role
  5. Click "Add"

Organizer Role

Full event management access:

Permission Access
Event settings ✓ Full
Submissions ✓ Full
Schedule ✓ Full
Attendees ✓ Full
Tickets ✓ Full
Communications ✓ Full
Analytics ✓ Full
Team management ✓ Full

Use for: Co-organizers, event managers, core team

Evaluator Role

Limited to submission review:

Permission Access
Event settings ✗ None
Submissions 👁️ Assigned only
Schedule 👁️ View only
Attendees ✗ None
Tickets ✗ None
Communications ✗ None
Analytics ✗ None
Team management ✗ None

Use for: Program committee, reviewers, judges

Managing Team Members

Viewing Team

The team list shows:

Column Description
Name Team member name
Email Contact email
Role Assigned role(s)
Added Date added
Status Active/Pending

Editing Roles

  1. Find the team member
  2. Click "Edit" or the pencil icon
  3. Change the role selection
  4. Click "Save"

Removing Members

  1. Find the team member
  2. Click "Remove" or the trash icon
  3. Confirm the removal

Note: Removing a member revokes their access immediately.

Pending Invitations

Track invitations that haven't been accepted:

  1. Go to Team > Pending
  2. View pending invitations
  3. Options:
    • Resend - Send the invitation again
    • Cancel - Revoke the invitation

For a typical conference:

Co-Organizers Assist with all tasks 2-4
Evaluators Review submissions 5-15

Track what team members do:

  1. Go to Activity or Logs
  2. View recent actions:
    • Submissions reviewed
    • Status changes
    • Settings modified

Transferring Ownership

To transfer event ownership:

  1. Ensure the new owner is an organizer
  2. Contact Kite support
  3. Confirm the transfer
