Creating Your Schedule

Build a comprehensive event schedule with the visual schedule builder.

Quick Access (Organizers only)
Go to My Events → Select an event → Schedule (Organizer section)

The Schedule Builder allows you to:

Before building your schedule:

Accessing the Schedule Builder

  1. Open your event dashboard
  2. Click "Schedule" in the sidebar
  3. Select "Builder" or "Calendar" view

Creating Time Slots

Step 1: Select Time and Room

  1. Click on the schedule grid at the desired time/room intersection
  2. Or click "+ Add Slot" button

Step 2: Configure Slot Details

Field Description Required
Title Session title Yes
Start Time When it begins Yes
End Time When it ends Yes
Room Assigned room Yes
Session Type Type of session Recommended
Description Session details Optional

Step 3: Assign Content

Option A: Link to Submission

  1. Click "Link Submission"
  2. Search for accepted submission
  3. Select the submission
  4. Speaker auto-assigned

Option B: Custom Session

  1. Enter title manually
  2. Add description
  3. Optionally add speakers

Step 4: Save

Click "Save" to create the slot.

Working with Slots

Editing a Slot

  1. Click on the slot
  2. Modify details
  3. Save changes

Moving a Slot

Drag and drop:

  1. Click and hold the slot
  2. Drag to new time/room
  3. Release to place

Manual edit:

  1. Open slot details
  2. Change time or room
  3. Save

Deleting a Slot

  1. Open the slot
  2. Click "Delete"
  3. Confirm deletion

Duplicating a Slot

  1. Open the slot
  2. Click "Duplicate"
  3. Adjust details
  4. Save

Session Types

Common session types:

Type Typical Duration Description
Keynote 45-60 min Main stage presentations
Talk 30-45 min Standard presentations
Lightning 10-15 min Quick talks
Workshop 2-4 hours Hands-on sessions
Panel 45-60 min Group discussions
Break 15-30 min Coffee/lunch breaks
Networking 30-60 min Social time

Adding Speakers

From Submission

When linking a submission:

Manual Assignment

  1. Open the slot
  2. Go to "Speakers" section
  3. Click "+ Add Speaker"
  4. Search and select
  5. Save

Multiple Speakers

For panels or co-presented sessions:

Breaks and Special Slots

Adding Breaks

  1. Create a new slot
  2. Set title: "Coffee Break" or "Lunch"
  3. Select "Break" session type
  4. Set "All Rooms" if applicable

Registration/Check-in

Add slots for:

Create dedicated time for:

Schedule Conflicts

Detecting Conflicts

Kite warns you about:

Resolving Conflicts

When warned:

  1. Review the conflict
  2. Move one session
  3. Change room assignment
  4. Adjust timing

Publishing Your Schedule

Preview

Before publishing:

  1. Click "Preview"
  2. Review as attendees will see it
  3. Check for issues

Publish

  1. Go to Schedule Settings
  2. Click "Publish Schedule"
  3. Schedule becomes public

Unpublish

To hide the schedule:

  1. Go to Schedule Settings
  2. Click "Unpublish"
