Configure venues and organize your content into tracks.

Managing Rooms

What Are Rooms?

Rooms represent physical or virtual venues:

Creating a Room

  1. Go to Schedule > Rooms
  2. Click "+ Add Room"
  3. Configure room details:
Field Description Example
Name Room identifier "Main Hall"
Capacity Number of seats 500
Type Room category Main Track
Icon Visual identifier
Color Schedule color #7367F0
  1. Click "Save"

Room Types

Type Description Use For
Main Track Primary venue Keynotes, main talks
Breakout Smaller rooms Parallel sessions
Workshop Hands-on space Workshops, tutorials
Hallway Informal space Networking, booths

Editing Rooms

  1. Go to Schedule > Rooms
  2. Click on the room
  3. Modify details
  4. Save changes

Deleting Rooms

  1. Select the room
  2. Click "Delete"
  3. Confirm

Warning: Deleting a room removes it from all associated schedule slots.

Room Order

Rooms appear in the schedule in order:

  1. Drag to reorder in room list
  2. First room appears leftmost

Setting Capacity

  1. Edit the room
  2. Enter the capacity number
  3. Save

Assigning Colors

Colors help identify rooms in the schedule:

  1. Edit the room
  2. Select a color
  3. Save

Managing Tracks

What Are Tracks?

Tracks are content categories:

Creating Session Types

Use session types as tracks:

  1. Go to Schedule > Sessions
  2. Click "+ Add Session Type"
  3. Configure:
Field Description
Name Track name
Color Display color
Description Track description
  1. Save

Assigning Tracks

When creating schedule slots:

  1. Select the session type/track
  2. Slot inherits track color
  3. Attendees can filter by track

Room Features

Adding Room Details

Include relevant information:

Room Instructions

Provide speaker notes:

Main Hall: - Lapel mic available - Confidence monitor on stage - 1080p projector - Presenter timer on podium

Virtual Rooms

For online or hybrid events:

Creating Virtual Rooms

  1. Add room as usual
  2. Include streaming link
  3. Note it's virtual in description

Virtual Room Details

Link Zoom/YouTube URL
Instructions "Join 5 min early"
